Who this policy covers

SunloopMedia is an individually operated digital media and technology publication for a global English-language readership, covering practical technology education, explainers, guides, reviews, comparisons and digital life. This policy explains how we handle information in connection with the publication. Contact us at contact@sunloopmedia.com.

This policy does not describe every data practice of the separate Tools or Games applications, external websites or possible future services. Check the information provided in the relevant service before using it.

Information you provide

When you email us, we receive your email address, message, any name you provide, attachments and related correspondence information. You choose what to include. We use that information to understand and respond to inquiries, assess corrections, handle privacy requests and keep necessary records of the outcome.

Please do not send passwords, payment details, identity documents, confidential records or unnecessary personal information. For an article inquiry, its URL and the relevant passage are usually more useful than a personal document. If identity verification is reasonably needed for a request, we will ask only for information proportionate to that purpose.

Public account registration and reader comments are currently not available on SunloopMedia. Our contact route is email; we do not offer a public contact form, privacy-request account or newsletter subscription service.

Website requests and technical information

Opening a page, image or search result sends a request to our website infrastructure. Operating, delivering, securing and troubleshooting the publication can involve technical information such as an IP address, requested URL or search query, time, browser/device information and error or security-event details. Hostinger provides hosting and CDN services and may process request information, logs and service statistics for those purposes. These provider-side operations are separate from optional browser analytics.

Avoid putting sensitive or confidential information into the website search box or a URL. Requests and their query strings can form part of infrastructure records.

WordPress uses functional cookies in login and authenticated administration contexts. A temporary owner-only review also uses a session-bound cookie. See our Cookie Policy. These administrative features do not create public reader accounts.

Providers, access and disclosures

Hostinger supplies our website hosting/CDN and email service. Hostinger Email processes correspondence to deliver and store messages. We use the services needed to operate the publication; a provider’s general supplier list is not a claim that this website uses every listed service.

The owner handles publication correspondence. Information may also be processed by relevant service providers for delivery, storage, security, troubleshooting and recovery. Where genuinely necessary, we may disclose relevant information to comply with law or a valid legal request, protect rights or address a security incident. We do not use this as permission for unrelated disclosure of your correspondence.

Processing may take place outside your country. We have not confirmed each account-specific hosting, CDN, email or recovery location, and we do not promise India-only storage. Provider documentation does not by itself establish a particular account’s transfer arrangement.

AI assistance and private correspondence

We use AI tools in editorial and development work, including research, drafting, analysis and editing. AI output is checked within the scope of the work and is not automatically published. Our operating rule is not to intentionally send reader correspondence, credentials, confidential information or unnecessary personal information to external AI services. This rule is not a claim that every historical interaction has been audited. See our Editorial Policy.

How long we retain information

Our retention rules use quarterly manual reviews rather than automatic deletion on an exact anniversary. The periods below are operational rules, not universal statutory periods:

  • Ordinary inquiries: delete unnecessary personal correspondence approximately 12 months after resolution or the last substantive contact, through the quarterly review.
  • Corrections: keep the minimum editorial correction or source-decision record needed while it remains relevant to the published article. Delete unnecessary correspondent contact information and attachments approximately 12 months after closure. Review retained supporting personal records after approximately three years from closure and keep them longer only where genuinely necessary.
  • Privacy or grievance requests: keep a minimal restricted record of receipt, scope, decision/action and completion for approximately three years after closure. Remove unnecessary identity-verification material promptly when no longer required.
  • Legal or security matters: retain relevant records according to genuine legal, security, incident-response or evidentiary need. Review continued necessity at least annually after closure. Applicable minimum ICT-log requirements take precedence over the ordinary-email schedule.

Deletion normally takes place at the next quarterly review after a record becomes eligible. A specific legal hold or other genuine need may require relevant information to be kept longer. We limit such retention to what is needed rather than treating every message as a permanent record.

Provider backup, Trash and recovery copies can follow separate recovery and expiry cycles. Deleting a message or record from our active use does not mean that every provider copy disappears immediately or on the same date. Controlled operational backups/checkpoints are handled for their separate recovery or evidentiary purposes.

Requests and corrections

Email contact@sunloopmedia.com and explain whether you are asking about personal information, a correction or another matter. You may ask what information you supplied, seek correction of inaccurate information or request deletion of information we no longer need. We assess requests according to the applicable law, the information involved and any legitimate retention requirement. We do not promise universal erasure, an automated account control or immediate removal from every backup.

For privacy-related requests, include enough context to locate the relevant correspondence, without sending a password or unnecessary identity document. Ordinary editorial corrections follow our Corrections Policy.

Security

We use access restrictions and operational safeguards appropriate to managing the publication and its correspondence. No website or transmission method can be guaranteed completely secure. Do not send a credential or a confidential document merely to report a problem.

SunloopMedia manages application administration and access under its control, handles security incidents and preserves relevant records available to it. We cooperate with Hostinger when its infrastructure is involved and report or escalate matters to competent authorities where legally required. Hostinger controls relevant parts of its hosting/CDN infrastructure, server/platform environment, provider-level logs and provider security mechanisms. This division of control does not transfer every operator responsibility to Hostinger or mean that SunloopMedia independently retains every infrastructure log.

Optional services and external destinations

SunloopMedia does not currently have active optional analytics, advertising, newsletter, affiliate-tracking, consent-platform or IndexNow integrations. This does not mean hosting/security logs are absent. A displayed newsletter area does not accept subscriptions.

Following an external link or choosing a social-sharing destination takes you to another service with its own practices. A destination’s handling is separate from ours. We will review relevant disclosures and controls before introducing a new processing feature.

Audience and changes

SunloopMedia is intended for a general English-language technology readership and is not specifically directed to children. This does not guarantee that no younger person visits. Future children’s services or public accounts require their own review and are not provided by this policy.

We update this policy when relevant practices change. A material update should be identified with the revised policy. Questions can be sent to contact@sunloopmedia.com.
